DIY Portable Document Scanning Box for Digitizing IDs and Clearances
Many government documents like ID cards, birth certificates, and clearance papers now need to be uploaded online for job applications, visa processing, or government portals. Poor lighting and shadows often make phone-scanned copies blurry or rejected. This portable scanning box fixes that problem using basic materials you likely already have at home.
I built this after struggling to get a clean scan of my own clearance documents for an online submission. Supplies
- Cardboard box (shoebox size works well)
- White A4 sheets or butter paper (for diffusing light)
- LED strip light or 2 desk lamps
- Smartphone with camera
- Small binder clips or tape
- Box cutter/scissors
Prepare the Box
Cut a rectangular window on two opposite sides of the box and one on top. Cover the side windows with white paper/butter paper taped from inside — this diffuses harsh light and removes shadows.
Set Up Lighting
Place the LED strip or lamps outside the covered side windows so light passes through the diffuser paper evenly into the box.
Mount the Phone
Cut a small slit on top of the box to hold the phone steady, lens facing down, or use a clip to suspend it directly above the opening.
Scan Your Document
Place the document flat inside the box under even lighting. Take the photo, then use any free scanning app (like Google Drive's built-in scanner or Adobe Scan) to auto-crop and enhance contrast.
Review and Save
Check the scan for clarity before uploading — for documents like NBI clearance, where clear text matters for verification, a second pass with slightly angled lighting can help remove glare from lamination.
